LaVilla Theatre Booster Board Members and Responsibilities

2008 - 2009 Theatre Booster Board Members

The board members listed below are responsible for creating committees and finding parent volunteers for their specific areas to ensure the needs of the theater department are met.  The board members cannot possibly do all the work themselves, so parent volunteers are VITAL to the success of the department and to ensure the best experience possible for our children.

Theatre Booster Board Responsibilities

The difference between board members and parent volunteers – is that as board members we are responsible for creating committees, task forces, and finding volunteers to make sure the drama tasks are done.  We are not responsible to do everything ourselves!  If we are not able to find people, we may need to do it ourselves – but if that is not possible – it just does not happen this year.  And that is ok!  We can do only what is humanly plausible – and a requirement to be on this board is do work that gives you enjoyment – it is volunteer work after all. 

President:  To complete required LASOTA paperwork, sign checks, lead meetings, support faculty and volunteers, to relay communications, problem solve – fill in where needed. Make sure all volunteer positions are filled and provide leadership for parent orientations and meetings.  

Secretary:  Keep minutes for all meetings – board and parent.  And distribute to board members, faculty and parents affiliated with the drama departments, board meetings minutes and any other communications.

Treasurer:  Responsible for check requests and signing, monthly reports to board and faculty, working with June to make sure we are in compliance, overseeing all financial matters and bookkeeping records.

Banquet Coordinator:  Develop a committee of parents to create the end of the year banquet that will be responsible for securing a location, caterer, decorations, sending out invitations, and developing a theme for the evening.  You may work with the volunteer coordinators to assist you in finding volunteers.

Public Relations/Patrons Coordinator: Responsible for contacting the news paper and magazines to place advertisements for the drama events. Work with companies, individuals and  families inviting them to be patrons for the Drama Department. Send out Patron forms at the beginning of the year and during orientation. Possibly plan a lunch for patrons. Set up special seating and tickets for them.

Drama Trip Coordinator: Create a committee to help you: secure tour company, bus, financial details, chaperones, nurse (Teri Turner?) and permission slips. Work with faculty and coordinate finances with treasurer.

T-Shirts Coordinator: Secure a company to purchase T-Shirts; make sure they are available for purchase at orientations, open houses, and all shows. Prepare order forms. Make sure you work with Treasurer regarding money. 

Concessions Coordinator: Create a committee to purchase supplies – hotdogs, pizza, candy, drinks, fruit and etc.  LASOTA provides Pepsi products to sale at event. Concessions need to be available for all shows.  Arlene and Lia will assist in finding volunteers to run these events.

Fundraising Coordinator: organize fundraiser events and provide communications to parents and students regarding the upcoming events. (Board will determine how many we will need each year.)  Possibilities include: Entertainment books, candy sales, cookie dough, etc. You are responsible for securing all proceeds and working with the treasurer for accounting purposes; and working with faculty and other committees in terms of money needed, i.e. Chicago Trip. Create a committee!

Volunteer Coordinator: You are responsible for securing volunteers for events:  work days for productions, auditions for fall musicals, fall musical, one act plays spring show, trip chaperones, campus tours, district thespians, state thespians, show case – including food as well as people power, and banquet assistance. Any other places volunteers are needed – you have a huge job and the whole board will assist you. 

Historians:  Responsible for all photographs- during rehearsals, during shows, and other events.   As well as displays and giving parents an opportunity to purchase pictures. Work with the treasurer on all the finances.
